RepairCMS and Repairline

RepairCMS and Repairline compared

Looking for an alternative to Repairline? Repairline is tailored to manufacturers, dealers and service networks. RepairCMS covers both sides. The workshop that takes in, quotes, invoices and takes payment itself, and the manufacturer that runs aftersales, warranty and repair orders for its service network in one system.

In detail

The three differences you notice day to day

01

E-invoicing and accounting

ZUGFeRD 2.3 sits in every plan, including the smallest one. You write the invoice as usual, the structured file is created with it and goes to Lexware Office, DATEV compatible. This applies to invoices that are created in RepairCMS. Receipts created through helloCash do not take this route.

Invoice view in RepairCMS
Quote in the RepairCMS customer portal

02

The quote as the moment of sale

The quote sits in the customer portal. Your customer ticks individual optional items on and off, sees the new total right away, approves it digitally and pays online. The round of phone calls is gone, and the extra sale happens at the moment of decision. Quote management from the Business plan.

03

Who routes the units

Repairline writes that the work „zwischen Werkstatt, Händler und Hersteller“ (between workshop, dealer and manufacturer) is something you can „von Anfang an in klaren Schritten konfigurieren“ (configure in clear steps from the outset). We cover repairs across several businesses as well, only the other way round. Dealers and service partners submit their cases themselves in the B2B partner portal and follow the status in real time, instead of a matrix assigning the units automatically. The difference is the direction, not the reach.

What remains is the case where your process is highly specific and goes beyond what the portal and the standard warranty handling carry. Then we build it as custom work in the Enterprise process, with a fixed price for the scoping. Automatic assignment to service centres is still not part of the standard product, which is why there is no tick for it in the table.

Switching

What happens when you move over

These three points decide a switch, not the feature list.

Master data such as customers, devices and parts moves over by export and import. Completed orders stay in the old system or come along as an archive file.

The trial runs for 14 days and can be extended once to 21.

From day one: a status link instead of a callback, quote approval in the portal, ZUGFeRD automatically. Quote management from the Business plan.

Frequently asked questions

Questions about switching from Repairline

Where is Repairline ahead of us?

Repairline is ahead on two points, and both are in the table. By their own account the trial runs for 30 days at Repairline and 14 days with us. Repairline lists an API as a feature of its plans. With us it belongs to the Enterprise scope and is available on request. Repairline lists „B2B Partnermanagement“ (B2B partner management) in its feature overview, with us the partner portal is a module from the Team plan. Beyond the table, Repairline documents three things we do not carry: a routing that assigns incoming units to a service centre, in Repairline's words „basierend auf logischen Kriterien dem gewünschten Service Center automatisch zuweisen“ (assigning them automatically to the intended service centre based on logical criteria), a „Versicherungsintegration“ (insurance integration) with an excess, and a „Leihgeräteverwaltung“ (loan device management) including a SWAP pool. If your business depends on exactly that, Repairline is the better fit. This does not apply to manufacturers and brands: we cover aftersales, warranty and repair handling, RMA procedures and returns as well as the B2B partner portal for dealers and service partners. What we compare here is who each system is built for, not which one is better.

Why does the table say “no information found” so often?

Because we only write down what we found on the pages Home, Features, Tour and FAQ of repairline.de as archived on 9 August 2026. “No information found” means there was no statement about it there. It expressly does not mean the function is missing. If in doubt, ask the provider directly, and write to us if you find something we have overlooked.

We are a manufacturer and need an RMA process. Do you have one?

Yes. RepairCMS covers aftersales service departments, along with warranty and repair handling, collection and send-in orders, RMA procedures and returns as well as service requests from partners and retail. For send-in repairs the whole process runs from registration through to return shipping. Dealers and service partners submit their repairs themselves in the B2B partner portal and see the status in real time. The portal is a module from the Team plan and is included with Enterprise. Through a custom API you connect RepairCMS to your existing systems such as your ERP or online shop.

What we do not carry, we say just as plainly: an automatic assignment of incoming units to external service centres, as Repairline describes it with its „Service-Center-Matrix“, the insurance route with an excess, and a loan device pool. If your process goes beyond that, we build it as custom work in the Enterprise process. The route starts with a first call, then comes a scoping for 990 € net, credited in full when you sign, then a binding offer and the implementation from 1,490 € net. The Enterprise scope includes several locations managed centrally, custom analyses and reports, the B2B partner portal with extended logins as well as implementation and personal onboarding.

Can I take my data out of Repairline?

Repairline lists „Datenexport“ (data export) with an Excel export as well as „Import/Export“ as functions on its website. No statement on formats or extent was found on the pages Home, Features, Tour and FAQ archived on 9 August 2026. Clear that up directly with the provider before you switch.

You are both in Germany. So where is the difference?

On where the data sits, nowhere. The table says so. Repairline writes that its own servers sit „im hochmodernen, TÜV-zertifizierten Rechenzentrum Datacenter Ostbayern“ (in the highly modern, TÜV certified Datacenter Ostbayern data centre), and we store your data in Germany. The difference lies in what the system is built for. Repairline brings the tools of a brand with a service network. RepairCMS is built for the business that takes in, quotes, invoices and takes payment itself, and includes ZUGFeRD in every plan and the handover to Lexware Office. That applies to invoices created in RepairCMS. Receipts created through helloCash do not take this route. On top of that comes the quote as the moment of sale in the customer portal, where your customer ticks individual optional items on and off. Quote management from the Business plan.

Do I need a separate till for RepairCMS?

If you take cash payments through an electronic point of sale system, German law requires a certified technical security device. If you only write invoices, the requirement does not apply to you. If in doubt, your tax adviser will settle the question.

For RepairCMS, taking payment runs through helloCash. The connection has been in Early Access since 5 August 2026, documented for Germany and Austria. On top of that come the helloCash Premium package per location and the TSE fee. RepairCMS charges neither of them itself, so the route is still not free. Early Access
